Provide administrative support to the executive team, including scheduling meetings, managing calendars, and making travel arrangements. Maintain and organize electronic and physical files, ensuring accuracy and confidentiality. Prepare and distribute correspondence, memos, reports, and presentations. Act as a point of contact for internal and external stakeholders, handling inquiries and directing them to the appropriate parties. Coordinate and support virtual and in-person meetings, including setting up conference calls, video conferences, and arranging for necessary equipment. Take meeting minutes and prepare meeting agendas. Monitor and manage office supply inventory, place orders as needed, and ensure timely delivery. Assist with special projects and events, such as company-wide initiatives and team-building activities. Conduct research and gather information as requested by the executive team. Maintain confidentiality and handle sensitive information with discretion. Proactively identify and implement process improvements to increase efficiency and productivity. Collaborate with other administrative assistants to ensure seamless support for the executive team. Stay updated on company policies and procedures to provide accurate information to employees and external stakeholders. Attend and participate in team meetings and trainings as required.
