Office Administrator & Compliance Coordinator

Position Overview

Terra Remote Sensing is seeking a highly organized and detail-oriented Office Administrator & Compliance Coordinator to support business operations, business development activities, compliance, and administrative functions across our growing organizations for both Canada and US.

The ideal candidate is highly resourceful and takes initiative to stay ahead of competing priorities. They are skilled at managing multiple deadlines simultaneously, anticipating team needs, and ensuring work is completed consistently, efficiently and accurately in a fast-paced, evolving environment.

Responsibilities:Reporting to the VP Business Development, this position includes the following responsibilities (but are not limited to: )

Daily Operations

  • Monitor bid and tender platforms (MERX, BC Bid, Bonfire, Bids & Tenders)
  • Track proposal/RFP statuses and notify business development and/or project managers

  • Support Project Management Workflows
  • Support procurement workflows and purchase orders
  • Provide back-up support for coordinating shipping documentation and front desk duties on occasion
  • Support accounting with client invoicing preparation as needed.

Monthly Tasks
  • Coordinate project invoices and prepare client billing
  • Attend OHS meetings and complete compliance reporting
  • Participate in SOC2 (cyber security) compliance updates
Quarterly & Annual Duties
  • OSHA and safety reporting
  • Maintain compliance platforms and insurance updates
  • Manage client interface platforms (Avetta, ISNetworld, Veriforce etc.)
  • Cross-border regulatory tracking — staying current on differing CAN/U.S. compliance requirements
  • Document management, tracking and recordkeeping
  • Vendor/contractor onboarding coordination
  • Supporting audits or compliance reviews when required

Job Requirements · Related undergraduate or applicable college degree is an asset.

· 3-5 years’ applicable work experience in senior administration and/or bookkeeping type roles are preferred

· Strong organizational skills with a methodical approach to balancing multiple projects

· Exceptional attention to detail

· Solid understanding of deadlines, task ownership, and time management

· Excellent communication skills both written and oral, with the confidence to ask questions, provide input and clarify requirements.

· Microsoft Office proficiency with strong excel skills. Experience with Microsoft 365 environments

· Prior experience with safety compliance and OHS administration support (knowledge with both Canadian and U.S. regulatory environments, including provincial OHS frameworks and OSHA requirements, is a strong asset).

· Adaptability and a willingness to contribute to problem-solving and continuous process improvements.

· Familiarity and/or willingness with using AI tools to create efficiencies and streamline administrative workflows.

Mills Rd, North Saanich. This role may be eligible for hybrid work according to the Remote Work/ Work from Home policy

Job type:

Full-time 40 hours per week.

Paid sick days, vacation days, wellness allowance, tuition reimbursement and benefits. Participation in TRSI’s EOT after one year of full-time employment.

Wage: $55,000 to $62,000 per year. This position is eligible for overtime
