Evenings and Saturdays required. Plus seven variable hours. JOB SUMMARY: The Senior Bibliographic Services Department Head, Acquisitions and Processing, is responsible for developing and maintaining the processes and operations of acquisitions and processing services within the Bibliographic Services unit, as well as the supervision of relevant staff. The Senior Department Head is also responsible for developing and maintaining operational data to support data-informed decision-making. The Senior Department Head will provide direct and indirect customer service, special service planning, leadership and expertise at the system level to coordinate the divisional and cross-divisional delivery of a targets service, in accordance with system service plans and performance measures. As part of this role, the Senior Department Head acts as a subject matter expert for acquisitions and processing services and may take on more complex work in developing plans and deliverables and interacting with key internal and external partners. Subject matter expertise includes acquisitions and processing services operations, processes, and workflows. DUTIES: Under the direction of the Senior Manager, Bibliographic Services and working within a team structure, this position is responsible for: Developing, maintaining and coordinating the processes and operations of acquisitions and processing services Design effective and efficient workflows incorporating traditional and automated approaches to bibliographic services functions Advising and engaging in the design, development and yearly auditing of manual and automated bibliographic services systems and processes Planning and leading cross departmental projects to enhance efficiency and effectiveness Supervising staff, including training, motivating, setting performance standards; providing verbal input for performance assessment of staff; ensuring compliance with human rights and health and safety policies, procedures and legislative requirements Ensuring that staff are informed of plans, projects and procedures and ensuring that staff input and concerns are communicated effectively Coaching and mentoring staff Participating in department management to coordinate service delivery, resource allocation and scheduling Analyzing statistics, performance measures, etc. to determine staffing allocations and workflows priorities Assisting in developing bibliographic services policies and procedures, interpreting and communicating policies to staff and customers Assisting in the planning, implementation and evaluation of department operations and objectives as defined by division and system workplans Ensuring that documentation for roles and processes is full and complete Creating and maintaining operational procedural manual and system documentation Overseeing the development of documentation and user aids to support access to bibliographic services Leading or participating in project teams and committees Contact with staff, external organizations, institutions, vendors, contractors and other libraries as required for all day-to-day operations Representing Acquisitions and Processing in the user acceptance testing, analysis, problem-solving, and decision-making associated with the use and enhancement to integrated library systems and other library applications Supporting the evaluation and implementation of automated library system applications related to acquisitions and processing operations Provide day-to-day subject matter expertise to public service, Information & Technology Services, and Finance staff for support functions Collaborating with staff and vendors to keep accurate documentation, resolve problems and issues and streamline processes Researching and making recommendations of technological developments in all aspects of bibliographic services Identifying opportunities and recommending process improvements and best practices for acquisitions and processing services Providing data and reporting of Key Performance Indicators and bibliographic service-related trends Monitoring department budgets Leading the coordination of training on new and existing processes and procedures to ensure accuracy and compliance Preparing background reports, briefing memos, presentation materials and drafting policies for review by senior staff and the Library Board Contributing to RFPs, RFQs, RFSs as a representative from Acquisitions and Processing Lead vendor selection, review and evaluation Lead in the resolution of problems or complaints from staff and customers in accordance with established policies and procedures Oversee day to day operations within Bibliographic Services Hires, trains and supervises Pages as required Trains professional and paraprofessional staff in library operations and bibliographic services Ensure physical building maintenance by identifying and reporting problems of building maintenance and repair Implementation of the health and safety program Performing other duties as required QUALIFICATIONS: Graduate degree in Library or Information Science from an accredited institution or equivalent education Minimum of four (4) years’ professional public library experience, including a minimum of two (2) years in a supervisory role in a library setting Demonstrated significant experience with integrated library systems, including performing reporting activites; SirsiDynix Symphony experience is an asset Proven knowledge of and experience in bibliographic service functions and standards, including MARC21 Demonstrated expertise in project and change management Understanding and appreciation of the philosophy of public service to all, in accordance with human rights legislation and the principles of equity and access in the delivery of library service Demonstrated ability to provide exceptional customer service and resolve conflict, including complex and sensitive customer and staff issues Proven ability to lead, train and to supervise staff Highly developed leadership, planning, organizational, analytical, and problem-solving skills Proven ability to exercise sound judgment and to work effectively in a team environment with staff at all levels Strong interpersonal skills, with experience developing and fostering teamwork and facilitating team dynamics Ability to work independently, with a high degree of accuracy and attention to detail Proven ability to think conceptually, understand the big picture and convey clearly to others Excellent communication and presentation skills The Toronto Public Library does not ask for a credit card, banking information, or social insurance number during the recruitment process.
