Trademark Group of Companies is seeking a professional, organized Customer Service Representative / Receptionist to join our team in Markham. This is a critical front-facing role- you will be the first point of contact for clients, visitors, and internal teams.

This position is ideal for someone who thrives in a fast-paced environment, communicates clearly, stays organized under pressure, and takes ownership of their work. You’ll balance customer service, reception, and administrative support while helping the office run smoothly.

Bilingual abilities and experience in medical or dental reception are highly valued. Responsibilities

Greet visitors warmly and maintain a professional, welcoming front desk

Answer and direct incoming calls using a multi-line phone system

Receive and respond to customer requests via phone, email, fax, or mail, ensuring timely resolution and follow-up

Provide customer support by identifying issues, recommending solutions, and escalating when necessary

Perform data entry while maintaining accuracy and confidentiality

Assist with clerical duties including online orders, filing, photocopying, scanning, and document preparation

Prepare standard correspondence, presentations, and internal materials

Support scheduling, meeting coordination, and room setup including refreshments when required

Maintain office organization, mail distribution, and supply inventory

Assist with department projects and provide backup administrative support as needed

Maintain office security by monitoring visitor access

Maintain a clean and organized front desk area to promote a welcoming environment Experience

Previous experience in customer service, reception, or administrative roles

Strong proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word)

Comfortable managing multiple priorities and working under tight deadlines

Excellent communication, interpersonal, and organizational skills

Ability to work independently while remaining a strong team player

High attention to detail with data entry and documentation

Experience with office systems, calendars, and general office operations
