Bottle Bros Packaging is a modern packaging & beverage company based in the Edmonton area (St. Albert). We are hiring an autonomous Operations Coordinator / Executive Assistant to keep our office running smoothly and alleviate administrative burden from the CEO. You will be trusted to handle vendor payables, material purchasing, supplier research, assist with hiring, and act as a gatekeeper for internal team noise.

We offer a flexible work-from-home schedule for this objective-focused role in our company. You are only required to visit the office occasionally, but can choose to work on-site if you prefer.

If you are a resourceful, systems-minded problem solver, we want you on our team. It's a part-time role at the start, but can grow to more hours according to your schedule as the company grows.

Responsibilities

  • Internal Team Communication: Serve as the primary filter for team questions across departments. Using our internal procedures, you'll solve what you can, and defer anything else to the owner.
  • Sales Support: Generate accurate invoices/quotes for our customers and monitor receivables.
  • Vendor Payments: Queue up weekly vendor bill payments for management approval.
  • Purchasing: Assist the teams in ordering of materials and packaging supplies so production never stalls. Conduct research for new suppliers as well as materials for new product launches.
  • Hiring Support: Work with our team leads to assist with hiring: posting ads, screening resumes, and scheduling good candidates for interviews.
  • Logistics & Admin: Coordinate business travel, book flights, manage calendars, and tackle miscellaneous operational projects as they arise.
Thorough training will be provided for each responsibility.

Skills

  • Experience: 3+ years of experience in administration, office management, bookkeeping, or supply chain.
  • Tech Literacy: Comfortable working with Microsoft Office and QuickBooks. Experience with ERP software is a bonus.
  • Execution Mindset: You are an expert at building task lists and managing your own day.
  • Expert Communicator: You are comfortable communicating between multiple departments and leadership.
  • Edmonton-Based: This is a highly flexible, hybrid role (work from home 90%+ of the time), but you must reside in the Edmonton area for occasional in-person meetings and physical paperwork handoff. Working in-office is available if you prefer.
