Ontario Probate Law Clerk – Part-Time, Remote

B.I.G. Probate Law Group (Ontario) is seeking an experienced Ontario Probate Law Clerk to join our team on a part-time basis. This is a fully remote position, with the potential for the role to grow.
We are looking for someone with hands-on experience in Ontario probate and estate administration who is comfortable managing the administrative and procedural aspects of probate files with minimal supervision and communicating directly with clients.
Key Responsibilities

  • Prepare Ontario probate and estate administration applications and related court forms
  • Assist with Applications for a Certificate of Appointment of Estate Trustee, with or without a Will
  • Prepare affidavits, notices, consents, renunciations, and other supporting estate documents
  • Prepare and send Client Engagement Letters (CELs) and related onboarding documentation
  • Follow up with prospective and existing clients regarding outstanding documents, signatures, payments, and next steps
  • Coordinate client onboarding and ensure files are complete before legal work begins
  • Communicate directly with clients throughout the probate process and provide procedural/status updates
  • Coordinate court filings, service requirements, and follow-ups with the Ontario Superior Court of Justice
  • Maintain accurate and organized electronic client files
  • Track deadlines and proactively follow up on outstanding matters
  • Work closely with the probate lawyer to keep files moving efficiently from intake through completion

Qualifications

  • 5 years + Ontario probate and estate law clerk experience is required
  • Strong knowledge of Ontario probate procedures, court forms, and filing requirements
  • Experience communicating directly with probate and estate clients
  • Ability to manage files and follow-ups independently in a remote environment
  • Excellent attention to detail and organizational skills
  • Strong written and verbal communication skills
  • Law Clerk diploma or equivalent relevant experience
  • Comfortable working with cloud-based legal and client-management systems

Position: Part-time to start, with opportunity to grow into full time for right candidate
Location: Fully Remote – Ontario
Compensation: Per file, with competitive pay for a full-time candidate
