Office Assistant/Receptionist

Operating fully onsite from Monday to Friday (9:00 AM – 5:00 PM, 35 hours per week), you will serve as the essential administrative anchor for the workplace.

In this role, you will be the warm, welcoming face of the agency, greeting guests, providing coffee service, and providing back-up reception support. Working alongside the Facilities Manager, you will oversee meeting room setups, process supply orders, manage vendor deliveries, and ensure all common areas and kitchens remain immaculate and organized. The ideal candidate brings prior office support experience, strong communication skills in English (bilingual French skills are a asset), and a proactive, team-first attitude. Responsibilities
-Front Desk & Reception Coverage: Greet visiting clients and employees warmly, manage front desk inquiries, offer coffee service, and serve as primary reception relief.
-Facilities & Maintenance Support: Assist the Facilities Manager with daily workplace operations, coordinating basic maintenance requests and supplier services.
-Meeting Room Logistics: Inspect and organize all conference rooms throughout the day to ensure they are tidy, equipped, and ready to welcome client meetings.
-Supply & Inventory Management: Monitor, order, and restock office supplies, kitchen goods, and pantry items while keeping track of incoming deliveries.
-Common Area Upkeep: Maintain clean, professional, and welcoming common spaces, including loading/unloading dishwashers and organizing refreshments.

Qualifications
-ability to lift up of 25 pounds
- 2+ year of receptionist experience.
-1+ years experience working in an office setting and corporate environments
-personable and customer service oriented
-strong problem-solving skills and ability to work independently
-Language Skills: Excellent strong communication skills in English (verbal and written) are required; bilingualism (English/French) is a strong asset.
-Technical Skills: Familiarity with the Microsoft Office suite (Word, Outlook, Excel) and communication tools like Skype/Teams.
-Soft Skills: Highly reliable, organized, and proactive team player with strong multi-tasking abilities and adaptability to change.
-Availability: Must be able to start immediately for a 30-day onsite assignment at Queen Street East.
