Job Description:

We are currently seeking an experienced Office Administrator to join our team. The ideal candidate will possess excellent organizational and communication skills, coupled with a strong ability to multitask and effectively manage a team. The selected candidate will be responsible for a variety of administrative tasks, including but not limited to managing the front desk, handling financial records, and ensuring smooth operations in a busy office environment.

Responsibilities:

Front Desk Management: Greet visitors and provide a welcoming atmosphere.
Consult visitors about services and programs. Answer and direct phone calls in a professional manner. Manage incoming and outgoing mail.

Calendar Management: Coordinate and manage calendars for multiple staff members.
Schedule appointments and meetings as needed.

Financial Record Management: Ensure the smooth operation of financial records and file security. Collect payments from customers and students. Process invoices, purchase orders, and expense reimbursements.

Student Support: Distribute books and kits to students as necessary. Provide assistance with any student-related inquiries.

Data Entry: Input financial data into relevant systems. Maintain accurate and up-to-date records.

Phone Etiquette: Demonstrate proficiency with phone systems. Maintain a high level of phone etiquette.

Reception Area Maintenance: Ensure the reception area is tidy and welcoming. Periodically assist with the movement of office supplies and materials.

Skills:
- Excellent communication skills, both written and verbal.
- Strong organizational skills with the ability to multitask effectively.
- Proficient in Microsoft Excel and Google Sheets, including sorting, sending functions, and creating formulas.

Qualifications:

  • Proven experience as an Office Administrator Assistant or in a similar role.
  • Familiarity with office management procedures and basic accounting principles.
  • Strong knowledge and proficiency in Microsoft Excel and Google Sheets.
  • Ability to work well in a team environment and lead when necessary.
  • Excellent problem-solving skills and attention to detail.
  • Exceptional interpersonal skills and a professional demeanor.
