HVAC Front Counter Customer Service / Warehouse Associate

Position Overview

This permanent full-time position will primarily support our Front Counter operations while also assisting with warehouse duties including shipping, receiving, picking orders, inventory organization, and customer pickups.

The successful candidate will be trained on our front counter systems, warehouse operations, and HVAC product knowledge to support the daily needs of contractors and internal staff. Accuracy, teamwork, urgency, and excellent customer service are critical to success in this role.

Key Responsibilities

Front Counter Customer Service Duties

  • Assist contractors and customers with HVAC, hydronic, and sheet metal product inquiries
  • Process customer sales orders and invoices using the P21 ERP system
  • Answer incoming phone calls and respond to customer requests promptly and professionally
  • Assist customers with product selection, pricing, availability, warranty information, refunds, and exchanges
  • Provide basic technical support and troubleshooting assistance (training provided)
  • Prepare and verify orders, pick tickets, purchase orders, and warranty registrations
  • Follow up on deliveries, shipments, back-orders, and special orders
  • Process customer payments and returns
  • Maintain pricing labels, shelf organization, and front counter cleanliness
  • Assist with inventory management and communicate low stock levels
  • Ensure customers review and sign paperwork before leaving with orders
  • Support other branches or departments as required

Warehouse Associate Duties

  • Accurately pick and stage orders from pick tickets
  • Double-check products, quantities, and serial numbers before shipment
  • Load and unload shipments safely using forklifts or manually (up to 75 lbs.)
  • Receive and organize incoming inventory into designated warehouse locations
  • Assist with transfers between branches using company systems
  • Inspect incoming and outgoing shipments for accuracy and damages
  • Maintain warehouse cleanliness, organization, and safety standards
  • Operate forklifts, pallet jacks, dollies, and warehouse equipment safely
  • Report inventory discrepancies, shortages, damages, or equipment issues to management
  • Assist with general warehouse duties and daily operational support
  • Prioritize order accuracy over speed

Qualifications & Experience

REQUIRED (Must show on your resume)

  • Minimum 2 years HVAC or plumbing experience and/or education or field work
  • Commercial rooftop HVAC experience required, including familiarity with rooftop unit (RTU) installation, servicing, curb adaptation, and ductwork tie-ins, as well as safe rooftop access and fall protection procedures
  • Minimum 3 years customer service, front counter, warehouse, or shipping/receiving experience
  • Strong computer skills including MS Office and ERP systems
  • Excellent verbal and written English communication skills
  • Strong organizational and time management abilities
  • Ability to work in a fast-paced environment
  • Ability to lift up to 75 lbs.
  • Forklift Certification
  • Strong attention to detail and accuracy
  • Reliable, punctual, and team-oriented attitude

Preferred

  • Forklift certification
  • Experience with P21 or similar ERP systems
  • HVAC wholesale distribution experience
  • Valid driver’s licence

Pay: $45,000.00-$55,000.00 per year
