Flash Health is seeking an experienced, detail-oriented Bookkeeper to manage daily bookkeeping across our businesses and pharmacy locations. The successful candidate must be proficient in QuickBooks, RBC Express, Slack, and AI tools, including Claude, and use these tools regularly to work efficiently and accurately.

Responsibilities

  • Manage daily bookkeeping in QuickBooks, recording transactions under the correct business, location, and account.
  • Review all bank and credit card accounts daily, match transactions, reconcile available activity, and investigate discrepancies.
  • Process all supplier invoices daily, verify supporting documents, categorize expenses, and identify duplicate or incorrect charges.
  • Create customer invoices, record receipts, track outstanding balances, and follow up on overdue payments.
  • Maintain accounts payable and accounts receivable, including payment schedules, due dates, and supplier statements.
  • Use RBC Express to monitor banking activity and prepare payments and transfers for authorized approval.
  • Consolidate financial activity across all accounts and locations daily, including invoices, payments, receipts, and outstanding items.
  • Use Claude and other approved AI tools daily to assist with financial summaries, spreadsheet analysis, discrepancy reviews, document organization, and repetitive administrative tasks.
  • Verify all AI-assisted work against source records to ensure accuracy, using company-approved practices for confidential financial information.
  • Provide management with a daily financial update covering account balances, payments due, overdue receivables, discrepancies, and items requiring attention.
  • Maintain organized digital records and a complete audit trail.
  • Communicate through Slack and follow up until outstanding accounting issues are resolved.
  • Prepare month-end reconciliations and supporting schedules for management and our external accountant.

Required Qualifications

  • Proven experience in full-cycle bookkeeping, preferably across multiple businesses or locations.
  • Strong working knowledge of QuickBooks.
  • Hands-on experience using RBC Express.
  • Proficiency with Slack for daily communication and coordination.
  • Practical experience using Claude and other AI tools in day-to-day work. Willingness to learn alone is insufficient; candidates must be comfortable actively using AI.
  • Ability to give AI tools clear instructions, evaluate their outputs, and apply them effectively to bookkeeping and administrative workflows.
  • Strong Excel or Google Sheets skills.
  • Solid understanding of accounts payable, accounts receivable, bank reconciliations, and general ledger bookkeeping.
  • Exceptional attention to detail, strong organizational skills, and reliable follow-through.
  • Ability to work independently, meet daily deadlines, and handle confidential financial information professionally.

Daily Expectations
Our books must remain current every business day. All available transactions and invoices must be reviewed, processed, and consolidated daily. Missing information, unreconciled items, and payment concerns must be documented and escalated promptly.
We expect this person to take ownership of the bookkeeping process and actively use AI to improve efficiency while maintaining accurate, verifiable financial records.
