Front Desk Receptionist /Administrator – Physiotherapy Clinic

New Age Physio is seeking an experienced, organized, and personable Front Desk Receptionist / Administrator to join our busy multidisciplinary healthcare practice.

We are looking for someone who can confidently step into a fast-paced clinic environment and provide an exceptional experience for both patients and practitioners. Previous experience working at the front desk of a physiotherapy, rehabilitation, or multidisciplinary healthcare clinic is strongly preferred.

What We’re Looking For

The ideal candidate has:

  • Previous front desk/administrative experience in a busy physiotherapy, rehabilitation, or multidisciplinary healthcare clinic
  • Experience using Jane EMR / Jane App
  • Experience with direct billing to extended health insurance companies
  • Experience booking and managing appointments for multiple practitioners
  • Strong telephone and patient communication skills
  • Excellent organization and attention to detail
  • Ability to multitask and prioritize in a busy front-desk environment
  • Experience processing payments, issuing receipts, and managing patient accounts
  • Confidence communicating with patients regarding appointments, insurance coverage, and clinic policies
  • A warm, professional, dependable, and patient-focused approach
  • Ability to work both independently and collaboratively with a multidisciplinary team

Responsibilities

  • Greet patients and provide a welcoming, professional front-desk experience
  • Answer incoming calls, emails, and patient inquiries
  • Schedule, confirm, reschedule, and manage appointments using Jane
  • Process payments and issue receipts
  • Submit and manage direct billing to insurance providers
  • Maintain accurate patient information and administrative records
  • Communicate with physiotherapists and other healthcare practitioners regarding scheduling and patient needs
  • Manage cancellations, waitlists, and schedule changes efficiently
  • Assist with general clinic administration and day-to-day front desk operations
  • Help maintain an organized, efficient, and positive clinic environment

About You

You enjoy working with people and understand that the front desk sets the tone for the entire patient experience. You are comfortable handling a busy schedule, shifting priorities, multiple practitioners, phone calls, patient questions, and administrative responsibilities without losing attention to detail or professionalism.

You are proactive, reliable, and able to identify what needs to be done rather than waiting to be directed.

Experience

Required/Strongly Preferred:

  • Healthcare/rehabilitation clinic administration: 1+ year
  • Physiotherapy or multidisciplinary clinic experience
  • Jane EMR/Jane App experience
  • Extended health insurance direct billing experience

Applicants with hands-on experience using Jane and direct billing in a physiotherapy or rehabilitation setting will be given priority consideration.
