Overview: We are seeking a highly organized and detail-oriented individual to join our team as a Real Estate Assistant. As a Real Estate Assistant, you will provide administrative support to our real estate agents and help ensure smooth operations within the team. This is a great opportunity for someone interested in the real estate industry and looking to gain valuable experience.

Responsibilities & duties:

Assist real estate agents with administrative tasks including document preparation, filing, and data entry (offers, amendments, listing paperwork etc)

Maintain team leader’s calendars and scheduling meetings/calls with clients

General real estate administrative duties (booking showings, post listings on MLS, file paperwork etc)

Coordinate and schedule property showings and open houses

Coordinating photographers for new listings

Manage client relationship tasks such as follow up and answering questions

Communicate with clients, vendors, and other professionals in a professional and timely manner

Provide excellent customer service to clients by addressing inquiries and resolving issues

Run general errands and tasks like pick ups and drop offs, key exchanges, pick up of marketing material

Must be proficient in all social media platforms

Create marketing material (print, social media, direct mail)

Update social media (Facebook/Instagram, LinkedIn etc) and update listings on website

Manage social media advertising (sponsored ads)

Facilitate client events and other related duties as directed

Work occasional evenings and weekends when required

Organize closing gifts

Creating monthly marketing campaigns

Call showing agents for feedback and providing such information to the agent & client

Qualifications

Licensed or Unlicensed Real Estate Executive Assistant

Must have minimum 1 year real estate administrative experience A positive and energetic individual

Strong customer service skills

Dedicated team player

Flexible schedule

Excellent time management, organization and problem-solving skills

Ability to prioritize tasks effectively

Experience working with Brokerbay, Realm, TREB stratus, webforms and docusign.

Must possess a valid driver’s license and have access to a personal vehicle

Excellent written and verbal communication skills
