Primary Responsibilities

  • Provide executive and personal assistance to the CEO.
  • Manage complex calendars, appointments, meetings, and travel arrangements.
  • Coordinate business meetings, client visits, conferences, and special events.
  • Prepare professional correspondence, reports, presentations, and meeting materials.
  • Organize and maintain confidential business and personal records.
  • Act as a professional point of contact for clients, vendors, and business partners.
  • Assist with office management, administration, and operational coordination.
  • Track projects, follow-ups, action items, and deadlines.
  • Support business development initiatives and executive planning.
  • Handle sensitive and confidential information with absolute discretion.
  • Assist with occasional personal errands or executive-related tasks when required.
  • Travel with the executive team when necessary for meetings, conferences, customer visits, or company events.

  • Previous experience as an Executive Assistant, Personal Assistant, Office Manager, or senior Administrative Professional.
  • Exceptional organizational and time-management skills.
  • Outstanding verbal and written communication abilities.
  • Advanced proficiency with Microsoft Office applications including:

  • OneNote
  • Strong experience managing executive calendars and scheduling.
  • Comfortable learning new software and business systems.
  • Excellent judgement and decision-making abilities.
  • Ability to prioritize multiple projects while meeting deadlines.
  • Valid driver's licence with reliable transportation.
Travel Requirements Travel is an essential requirement of this position.

The successful candidate must be willing and able to travel throughout Ontario, Canada-wide and potentially USA or occasionally on short notice, to attend:

  • Executive meetings
  • Customer visits
  • Conferences
  • Corporate events
  • Business lunches and dinners
  • Off-site planning sessions
Occasional overnight travel may be required.
