AVIXA EMEA is looking for an event content and logistics coordinator to join our dynamic content creation team to support face-face and digital events, and online training courses. The successful candidate will be an organised and efficient team player, who is comfortable with technology and used to working in a virtual environment. The ideal candidate will have some experience of events or training, however, we will provide full training and development to ensure success in this role. 

Hours: Hourly/part-time position (anticipated approx. 17.5 hours a week). More hours available to support annual event delivery e.g. ISE (Integrated Systems Europe) in January/February in Barcelona and InfoComm in May/June, with post event reporting and wrap up deliverables as required.

Salary: £20-22/hr

Key Responsibilities include but are not limited to:

  • Delivery of virtual webinars, online training and face-to-face events.
  • Administration of trainers’ fee invoices and any expenses in line with agreements.
  • Collation of quarterly reports on event and training session numbers (e.g.: registered vs. attended numbers) and collection of this data from across the EMEA team where events have occurred.
  • Coordinating the EMEA Team Events Diary/Online shared Calendar and following up with regional team to update and upload results information.
  • Supporting the EMEA Global Industry Engagement Team in the delivery of our Partner and Member events and AVIXA’s Senior Leadership Team’s meetings during ISE. 
  • Liaising on key projects managed by third party suppliers who fulfil AVIXA housing requirements and meetings during ISE.
  • Assisting with content programming, data input, reporting and preparation of key ISE Content Programme deliverables as directed.
  • Responsible for the AVIXA CTS ‘Renewal Unit’ CPD applications and post event/class uploading of candidates to AVIXA systems for recipients.
  • Assisting with in-person or virtual course logistics where possible and posting course evaluation forms.

Other Duties:

  • To undertake any other duties in keeping with this job role and to support the wider business.
  • Occasional travel within UK / Europe and further afield may be required.

Qualifications and Experience:

  • Ability to manage your time and be able to ramp up and extend your hours to full time around ISE in Jan/Feb and InforComm in June. Some weekend work required.
  • Knowledge of the Audio Visual industry is a plus.
  • Proficient language skills written and verbal in German and/or Spanish language is also a plus.
  • Events experience and/or a degree in events or related subject.
  • Excellent IT skills e.g. Microsoft Office, Zoom.
  • Previous use of a virtual event platform and CRM (desirable), basic graphic design skills (desirable), social media skills (desirable).
  • Excellent planning and organisational skills, accurate and meticulous.
  • Excellent customer service skills, enthusiastic and helpful approach.
  • A team player.
  • Reliable, ability to problem solve.
  • A good communicator, able to build relationships and deal with senior speakers.
