Position Summary

As an Administrative Assistant, you will report to and work closely with the Admin Coordinator and will be responsible for owning all-things admin. In this role, you will get the opportunity to gain experience in various areas of the organization including, but not limited to, the following:

Key Responsibilities

  • Ensuring the accuracy of member records and other databases.
  • Coordinating both general and member correspondence.
  • Administrative support with managing member grievances and other advocacy files.
  • Overseeing member bargaining and contract cycles to ensure their accuracy.
  • Administrative support with organizing new members.
  • Providing reception support and its associated responsibilities as necessary.
  • Assisting in the preparation and implementation of meetings.
  • Providing support with the coordination and execution of UFCW events.
  • Liaising between employers, suppliers, members, and others.
  • Supporting members at workplaces by processing documentation and creating various communications efficiently and accurately.
  • Supporting union reps with setting up online votes, sending out mass communication through various tools and editing other correspondence using best office administration practices.
What You Bring to the Table
  • Post-secondary training in administration or an equivalent with 3-5 years of general administrative and/or clerical support experience.
  • A positive energy with a can-do attitude – you’re always ready to jump in and support where you can!
  • Ability to adapt as hurdles present themselves and think critically to problem-solve along the way.
  • You’re not afraid to ask questions and don’t shy away from learning – in fact, you embrace it!
  • Excellent verbal and written communication skills.
  • Stellar computer literacy skills including proficiency with Microsoft software (including Word, Excel, Teams and SharePoint), digital communication tools (Zoom, email, etc) and other mainstream programs (like Adobe Pro).
  • Superior organizational, prioritization, and time-management skills that allow you to work accurately and efficiently when given tight turnaround times.
  • Exceptional attention to detail – nothing gets past you!
It’s a Bonus If You…
  • Have experience providing administrative support to executives.
  • Have experience with case management.
  • Are multilingual and can speak and/or write in more than one language.
