Administrative and Communications Assistant

Overview

We are seeking a dynamic, detail-oriented, and collaborative Administrative and Communications Assistant to support the ministry and day-to-day operations of Trinity-St. Paul’s United Church (TSP). The primary purpose of this role is to provide administrative and communications support to the Minister, Director of Music, Board, and committees of the congregation, helping to ensure that the work and ministry of TSP function effectively both internally and externally.

The ideal candidate will bring strong organizational and communication skills, attention to detail, initiative, and a collaborative spirit. Responsibilities will include supporting office administration, coordinating communications, maintaining records and information, assisting with congregational activities, and responding to the administrative needs of staff and lay leadership. Within the overall context of TSP’s ministry, this role contributes to creating a welcoming, well-organized, and responsive environment that supports the congregation’s worship, community life, outreach, and public presence.

Responsibilities

Administrative

Provide effective administrative support to the Minister, Director of Music, Board, committees, and congregation in support of TSP’s ministry and day-to-day operations. Responsibilities include:

  • Supporting weekly worship and special services, including preparation and maintenance of worship materials, registries, visitor information, and coordination with worship participants.
  • Maintaining congregational records, membership and adherent databases, policies, procedures, Board and committee documentation, and appropriate digital files and backups.
  • Managing office and administrative supplies and contributing to the related annual budget process.
  • Maintaining the congregational calendar, coordinating church-related room bookings, and helping to prevent scheduling conflicts for worship, meetings, and special events.
  • Coordinating with building staff to ensure A/V support for worship and special services and providing basic A/V support for other meetings and events as required.
  • Processing designated congregational donations and expenses and maintaining appropriate expenditure records.
  • Participating in regular TSP staff meetings and providing general administrative support as required.

Internal Communications

Support clear, timely, and welcoming communication across the congregation by:

  • Preparing and distributing weekly congregational announcements and print and digital worship bulletins.
  • Preparing presentation materials for hybrid worship, special services, events, and congregational initiatives.
  • Maintaining internal communication platforms and ensuring congregational information and calendars remain current.
  • Coordinating and formatting content for the quarterly TSP Times newsletter and the annual congregational report.
  • Directing inquiries to appropriate staff, committees, or governance bodies.
  • Supporting communication that encourages members and volunteers to participate in the life, ministry, and work of TSP.

External Communications

Support TSP’s public presence through a cohesive, accessible, and engaging multiplatform communications approach by:

  • Maintaining and updating the TSP website and social media platforms, working collaboratively with staff, volunteers, and the Communications Committee.
  • Developing consistent templates and communication standards for digital and print materials.
  • Editing and publishing worship videos and other digital content across appropriate platforms.
  • Creating and distributing promotional materials for worship, special events, programs, and congregational initiatives.
  • Supporting appropriate advertising and community outreach through internal and external media.
  • Serving as a welcoming point of first contact for people seeking information, connection, participation, or a faith community at TSP.

Skills and Qualifications

  • Strong organizational, interpersonal, communication, and problem-solving skills.
  • Ability to work independently and collaboratively while managing multiple priorities.
  • Proficiency in digital communications, website and social media management.
  • Competency with Microsoft Office, Google Workspace, Adobe Creative Suite, WordPress, Zoom, and basic A/V and video editing.
  • Familiarity with effective communications practices and the United Church of Canada is an asset.
  • Relevant post-secondary education or equivalent experience in administration, communications, marketing, graphic design, or a related field is preferred.
